Description
Maintains, updates all payroll records in the computer file, including resignations, new
employees and changes to payroll deductions and salaries, including bonuses and
overtime.
Verifies certificate of absence and substitute forms with payroll information.
Keys in all adjustments for sick leave and vacation for all employees payroll funds.
Prepares federal tax, state tax, FICA and VRS reports for electronic transfer.
Reconciles insurance billings and payroll deductions for payment.
Prepares VEC reports and the 941-reconciliation report.
Prints payroll checks and check registers and makes electronic transfers of payroll funds.
Responsible for the accuracy and maintenance of W4's; prepares and distributes accurate
W2's and 1099's.
Prepares special payments, including stipends, supplements and summer school
payments.
Keeps the Payroll Manager and Assistant Superintendent, Administration informed of all
payroll information and changes, as required.
Assists the Office of Personnel with open enrollment process, new-hire orientation and
new school year, new employee processing.
Communicates with school and central office staff to ensure accuracy of time and
attendance documents.
Responds to inquires from employees as required.
Performs related duties as required or assigned.
Requirements
REQUIRED SKILLS AND ABILITIES:
Good knowledge of automated payroll processing and distribution procedures.
Good knowledge of payroll tax laws and procedures and some knowledge of basic
accounting principles and procedures.
Good knowledge of automated procedures, laws, basic accounting principles, and
procedures applicable to assignment.
Good knowledge of clerical methods and English usage.
Ability to follow relatively complex procedures in payroll processing, time sheet and
attendance verification, deduction determination, relevant tax laws, and regulations.
Ability to work under minimum supervision and within restrictive time frames.
Ability to utilize a computer keyboard at a productive speed, and to input data accurately
in a timely manner.
Excellent interpersonal skills and demonstrated ability to communicate effectively with
coworkers from administrative offices, school-based personnel, and vendors.

MINIMUM EDUCATION, TRAINING, AND EXPERIENCE REQUIREMENTS:
Graduation from high school or GED ( associate’s degree in business, finance, or
accounting desirable), including or supplemented by business courses and training on
computer terminal usage, and considerable responsible account clerical related
experience; or any equivalent combination of education and experience that would
provide the above noted knowledge, skill, and ability.
